Convenience Office Interiors is looking for a detailed, self starting, motivated individual to develop a new position in our company. This person will be responsible for all support to our sales team, including customer service, purchasing, project management and more. See job description below.

PURPOSE:

Provide administrative support to the Furniture Department and the Furniture Sales Manager.

SCOPE:

Must be able to manage a variety of tasks efficiently. Interacts with all internal departments. Frequent telephone contact with customers and vendors. Does not supervise others.

KNOWLEDGE, SKILL REQUIREMENTS:

High school diploma or GED. Must be detail oriented, accurate in recording information and write legibly. Must have excellent phone manners, good grammar and effective communication skills. Must be proficient in MS-Word and MS-Excel and have the ability for learn CAD.


PHYSICAL REQUIREMENTS:

Must be able to hear, see, file, write legibly, stoop, stretch and lift overhead. Must be
able to lift up to 20 pounds unassisted.


DUTIES AND RESPONSIBILITIES:

1. Report to work on-time and ready to work.
2. Assist customers with price quotes and delivery information.
3. Researches/resolves customer inquiries and special requests.
4. Work up quotes for installation.
5. Contract with outside source for installation.
6. Prepare customer’s acknowledgements.
7. Purchase products from vendors.
8. Do space planning for projects as directed by Furniture Sales Manager.
9. Call customers with delivery information and updates.
10. Resolves customer complaints.
11. Resolves shorts, backorders, and damages.
12. Handles special projects as needed.
13. Interacts with warehouse and divers on inventory and receiving.
14. Other duties as deemed necessary.

Specific responsibilities include, but are not limited to:

• Meet and greet agents, visitors and staff in a professional and courteous manner.
• Screen all incoming calls and route appropriately.
• Maintain all conference room bookings for client meetings.
• Maintain cleanliness and organization of the reception and conference room areas.
• Distribute daily mail and faxes in Agent/Staff in-boxes.
• Assist Operations Manager with Invoice verification.
• Track all advertising placement when property inquiries are made.
• Provide support for Agents, and assume other duties as required by the Operations Manager or Regional Manager.

Required Qualifications:

• 1-3 years of receptionist experience
• Superior inter-personal skills, confident and corporate demeanor
• Great organizational skills, attention to detail, self-starter
• Working knowledge of MS-Office XP (Word, Excel, PowerPoint, Outlook)
